Administrative Manager Position:

As the Administrative Manager, you will oversee the Administration Department, which includes Guest Services, Tours, Contracts, and Quality Assurance. You will be responsible for maintaining proper sales and marketing procedures across these departments while ensuring exceptional service delivery and compliance with company standards.

Principal Duties and Responsibilities

  • Staff Management: Train, motivate, and monitor the Sales and Marketing Administration staff to maintain high performance.

  • Budget Management: Collaborate with Sales and Marketing Management to keep the overall site budget within acceptable standards.

  • Policy Implementation: Maintain and communicate company policies while implementing them effectively across all departments.

  • Reporting: Ensure accurate reports are generated and distributed as directed.

  • Integrity Maintenance: Uphold the integrity of Capital Vacations ownership through quality assurance processes.

  • Administrative Support: Oversee the processing of contracts, including verification of accuracy, equity reports, and credit applications.

  • Customer Service: Provide exceptional service to owners during closings and ensure satisfaction before, during, and after the cancellation period of any purchase.

  • Document Management: Ensure all documents are handled correctly and that contract files are prepared for funding and filed in compliance with company policies.

  • Issue Resolution: Handle misrepresentation concerns and client disputes, reporting escalated issues to upper management.

  • Performance Standards: Maintain a low net cancellation rate and meet closing percentage targets as set by the company.

  • General Administrative Duties: Complete administrative assignments in an orderly and timely manner and foster a productive working environment.

Job Requirements

Education and Experience:

  • Real Estate License or willingness to obtain one.

  • 5-7 years of experience in an office environment or relevant field.

  • Experience in the Timeshare industry and administrative functions preferred.

Skills, Knowledge, and Abilities:

  • Strong personnel and management skills, with a technical competency in office processes.

  • Ability to multitask and adapt in a fast-paced environment.

  • Excellent time management, written, and verbal communication skills.

  • Diverse knowledge encompassing human resources, contracts, accounting, planning and development, marketing, and record retention.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and capable of efficient typing.

  • Strong customer service orientation and problem-solving skills.

  • Flexibility to work additional hours, weekends, and be on-call as needed.

Front Desk / Tour Reception / Gifting Department:

Responsible for providing customer services to guests, undertaking various administrative duties, diffusing conflict, and ensuring an enjoyable experience.

Requires availability during daytime hours – weekends required.

  • Greet and check-in guest

  • Assist guests with; collecting payments/pre-auth payments; making reservations for entertainment, lodging; and/or planning itineraries for shows, attractions, and restaurants

  • Resolve customer complaints

  • Run and prepare reports – opening and closing

  • Answer phones

  • Communicate all pertinent and required information/reports for Management (DOS, DOM, T.O., Admin. Manager, etc.)

  • Provide information to guests about the area, including directions and show information

  • Work with theater staff, and other vendors to reserve entertainment.

  • Distribute vouchers for shows, and restaurants.

  • Prepares count and profiles of tours for the entire day

  • Updates numbers to Sales Managers as more tours are added

  • Communicates with Admin Manager or Leads with unusual tours/gifts

  • Maintains clean lobby and refreshment stations.

  • Provides final daily breakdown numbers of tours including the type of tours, the arrived tours, no show tours and corrects data entry of these tours to Marketing and Sales at the completion of the day

  • Other duties as assigned
